Registrant Tickets
This option creates a single ticket per registrant. It’s ideal for one-day events, issuing accreditations, and similar scenarios. |
Event Tickets
This setting is more customizable. You can generate tickets based on divisions within your event. It has the following options:
|
Additional Purchase Tickets
These tickets are useful for items purchased online that need to be redeemed on-site. For example, if your event sells T-shirts, attendees can pre-order and claim them when they arrive. This option also works well for spectator tickets that need to be scanned at check-in. |
QR code services
Our QR Check-in Application enables administrators to seamlessly handle attendee check-ins by scanning unique QR codes that are securely emailed to registrants after they complete their registration.
Click on the sections below to learn more.
Enabling the QR Check-In App is simple. Navigate to “Step 05. Confirmation” in your event’s “Edit Settings” and find the QR Check-In App banner at the top. Click the “Set Up” button on the right which will open a popup where you can enable the app for your event.
In the “Check-in App” tab check off the “Enable Check-in App” option. This will bring up the three ticket options that you will be able to generate:
Ticket Types
To confirm the tickets you will generate for your event you can use the “Ticket Visualization” tab. This tab allows you to preview the tickets that will be generated based on the options you have enabled in the previous tab. This tab is here to help eliminate confusion by providing a clear visualization of the ticket types and their respective details, making it easier to understand how registrants will receive their tickets. If the preview doesn’t meet your expectations, you can go back and adjust the settings accordingly to ensure the tickets are generated as desired.
Finally, once you are satisfied with the settings, make sure to return to the “Check-in App” tab and click on the green “SUBMIT” button to save your changes.
Important NoteIt is possible to enable the QR Check-in App after registration has opened, but keep in mind that clicking the "SUBMIT" button will immediately send out the email QR tickets. If you have more than 10 registrants, your settings will also become locked upon submission. This means you can effectively test your settings and the Check-in App when you are below 10 registrants. To have your settings changed once they have been locked, please contact us.
In the QR Check-in App you can edit the information displayed on email tickets, information shown upon scanning a ticket, and the visible fields shown in the LIST tab’s tables. Since each ticket type—Registrant Ticket, Event Ticket, or Additional Purchase Ticket—may need to display different kinds of information, we allow you to customize each of these so that it best suits your event’s needs
To edit these visible fields you can navigate to "Step 05. Confirmation" in your event’s "Edit Settings" and locate the QR Check-in App banner at the top. Click the "Set Up" button.
In this popup, click on the “Ticket Visualization” tab at the top. From here you can change the visible fields for each type of ticket by clicking on the “EDIT” buttons.
In the new popup you will be able to change the order as well as select which fields will be visible in which sections.
The “Email” checkbox will show the option in the email tickets sent to the registrants when they register for your event.
The “Scanner” checkbox will show the option for the admin scanning in the “SCAN” tab of the Check-in App. This can be useful if the admin needs certain information from the registrant to better help them (ex: displaying the item name, color, and quantity for an additional purchase).
NoteThe first name, last name, team name, and province fields will automatically appear in the scanner ticket view, provided these options are enabled in your event settings.
The “Admin List” checkbox will show the option in the “LIST” tab of the Check-in App.
NoteYou can also edit the visible fields from inside the QR Check-in App by clicking on the “LIST” tab, selecting an event in the top dropdown menu and clicking on the “Visible Fields” link.
To start scanning tickets for your events, just follow these simple steps:
- Open the App: Open the QR Check-In App and navigate to the "SCAN" tab. You can access the app in various ways: through the MY ACCOUNT dropdown, from the left side menu, and the "View Registrants" page.
- Scan the QR Code: Align the QR code within the scanner frame on your device’s screen. The app will automatically detect and read the QR code.
- View Information: Once scanned, the app will display the ticket details and check-in status.
- Complete Check-In: If the ticket is valid and the status is "Pending", the app will update the status to "Checked-In". If the ticket has already been used or is expired, the app will display the corresponding status to inform the user.
The QR Check-in App is designed with robust scanning features to ensure a secure and efficient check-in process. Here’s an overview of the scanning capabilities:
Features
SecurityOur scanner is built to recognize and accept only QR codes generated by our system. This protects users from potentially malicious QR codes by ensuring that only valid, event-specific QR codes can be scanned and displayed in the app.
Ticket DetailsUpon scanning a QR code, the app displays essential information about the ticket, including what the ticket is for (e.g., event session, additional purchase) and who it is associated with (e.g., registrant’s name). As an admin you can choose what information is shown for each type of ticket (for more information check out Editing Tickets and Visible Fields).
Check-in StatusThe app also shows the current check-in status of the ticket, providing real-time updates to ensure accurate tracking of attendees. The ticket status has the following options:
- Pending: Indicates that the ticket has been issued but not yet used for check-in. This status is shown for tickets awaiting the participant's arrival.
- Checked-In: Confirms that the participant has successfully checked in using the ticket. This status updates in real-time upon scanning.
- Already Checked-In: Alerts that the ticket has already been used for check-in, preventing duplicate entries and ensuring one-time use.
- Expired: Shows that the ticket is no longer valid, either because the event has ended or the ticket’s validity period has passed.
To access your event’s QR ticket list, open the QR Check-In App and navigate to the "LIST" tab. You can access the app in various ways: through the MY ACCOUNT dropdown, from the left side menu, and from within the "View Registrants" page.
The QR Check-in App’s List feature allows event organizers to manage and view all registrants associated with their tickets. Below is what the interface to manage your QR tickets list looks like.
1. Event Selection
Users can select which event's tickets they want to view, making it particularly useful for organizers managing multiple events. The app will automatically display tickets for any event happening today.
2. Search Filter
Users can filter the registrant list based on various criteria such as the registrant's name, individual events, age categories, team/club names, and checked-in status (Checked-in or Pending). This enhances the search functionality, making it easier to find specific registrants or groups and streamlining the check-in process.
3. Visible Fields Customization
Admins can use the "Visible Fields" link to customize which information is shown on email tickets, when a ticket is scanned, and in the List view. This provides flexibility to display relevant information tailored to the event's needs.
4. Special Fields
In the List view, three special fields are always displayed: Checked-in By, Check-in Time, and Checked-in status. Admins can change a registrant's checked-in status directly from the List view by clicking on the Checked-in icon.
5. Re-send Ticket Option
6. Real-time Updates
The List view automatically refreshes every few seconds to ensure that the displayed information remains up to date, even if multiple people are scanning registrants simultaneously.
Event organizers can delegate administrative responsibilities by granting other accounts admin access to the event's check-in app. This feature is accessible through the "Admins" popup under the "Check-in application" option.
Making use of the “Partial Access” option can be particularly useful when providing admin access to the QR Check-in App. For example, if you have volunteers checking in athletes, they can access the Check-In App without needing full access to the rest of your event’s settings.
The QR Check-in App ensures flexibility and ease in managing ticket re-sends, whether for multiple registrants at once or for individual cases. The app offers two methods for re-sending tickets to registrants:
-
View Registrants Page: From the "View Registrants" page, you can re-send tickets by selecting the desired registrants and choosing the "Re-send Check-in Tickets" option in the "Apply to Checked" menu.
In the popup, you will have three options:
Features
Send Selected Tickets:Re-send specific Event Tickets or Additional Purchase Tickets.
Send Registrant Tickets:Re-send only the Registrant Tickets.
Send All Tickets:Re-send all tickets associated with the selected registrants.
- List View: In the “LIST” tab of the QR Check-in App, you can re-send individual tickets by clicking the blue re-send icon next to the registrant’s details. This action opens a field where you can enter an email address, with the registrant's preferred email pre-populated for your convenience.
